How do I get started with Broadcast?

In Hayylo, Broadcast is a way to communicate to larger segments of your customer base. By using the Hayylo segmentation engine, you are able to create filtered groups of customers and direct targeted communications by SMS as well as activities and offers via the customer app. SMS communications can be sent to any client, family contact or worker with a valid mobile phone number stored in Hayylo. Offers can be directed to any client or or family contact that has accessed the app and is active in this channel. All broadcasts are managed in the Broadcast tab which you can find in the left-hand menu list.

 

Getting Started

The key steps we will cover in this article will give you an understanding of how to get started with Broadcast including creating your customer segment, launching your first broadcast and tracking the responses. More detail has been provided below to explain each step.

1. Create your target group

Before we can create a targeted communication we need to filter the recipient list to ensure we are sending the Broadcast to the right list of people.

 

SMS Broadcasts can be directed to Clients, Family Contacts and Support Workers via SMS. The filter options for Offers Broadcasts are:

  • Client’s state of residence

  • Client’s suburb of residence

  • Client’s last date of scheduled visit

  • Site/Department custom field

  • Group assignment

  • Unspent budget amount

  • Budget name

Offers Broadcasts can be directed to Clients and Family Contacts via the app. The filter options for Offers Broadcasts are:

  • State of residence

  • Suburb of residence

  • Last date of scheduled visit

  • Service type

  • Site/Department custom field

  • Unspent budget amount

  • Budget name

 

Instructions

Follow these steps to create a filtered group for your first campaign in hayylo:

  1. Login to Hayylo with your registered username and password

  2. From the left-hand menu, select Broadcast

  3. Click the Create button

  4. Choose a campaign type (Offer/SMS)

  5. In the dropdown

  6. Select your first Query Filter

    1. Click add query filter

    2. Choose a filter type e.g State

    3. Choose an operator e.g. is/ is not

    4. Choose a value e.g. Victoria

  7. Add further query filters by clicking Add query filter

  8. Once you have your filters confirmed, click Apply

  9. Use the checkboxes next to each listed person to include or exclude them from your final list

  10. Click Next

 

Filter Values that require client text will display valid options as you start to type. An example of this is Budget Name. To select a budget name as a filter value, start to type the name of the budget to see valid names which you can then select.

 

 

2. Launch your Broadcast

Now you have a list of recipients who will be targeted by your campaign, let’s create and launch your first campaign content. For SMS broadcasts you will only need the body text along with a title for your campaign whereas offers will require more information.

SMS broadcasts incur a cost per message sent. The Broadcast interface will show you how many messages will be used for your campaign to help you understand the overall cost of the campaign. Currently the Broadcast feature restricts message length to 320 characters or less.

After pressing Send, your Campaign will be queued for sending in the Hayylo Broadcast engine. Depending on the size of your broadcast (eg, number of recipients) it may be take several minutes or longer for the broadcast to be sent.

 

Your Offer Broadcast will require you to complete a number of fields before you can launch it to your customers. Please make sure you are ready to provide:

  • Offer title

  • Offer subtitle

  • Description

  • Terms and conditions

  • Cost/price

  • Expiry date

  • Routing group for responses

  • Offer image

 

Instructions

Follow these steps to create and launch your first offer Broadcast:

  1. Enter the Offer title

  2. Click choose file to select your Offer image

  3. Enter the Offer sub title

  4. Enter the Offer description

  5. Enter the Offer terms and conditions

  6. Select the cost type

  7. Select the expiry date

  8. Choose which routing group to direct responses

  9. Enter the button name

  10. Review the result preview image to the right side and make change to the above if needed

  11. Once you are happy to send the Offer campaign, click Confirm and Send

 

3. Track the responses

 

Now that you’ve sent your first campaign, you can return to the Broadcast tab in Hayylo to view the status of Broadcasts and track the responses. Individual customer responses will be sent to the actions tab and assigned to the routing group you specified when you launched your offer campaign. From the Broadcast tab you can export the results or mark the campaign as expired.
