Hayylo Notify - Automatic reminders for schedule changes

Notify is one of the most valuable features in the Hayylo suite as it enables your customers and their contacts to stay up to date on schedule changes without needing to contact your team. For customers, not knowing who is coming to visit them and when, is a major source of frustration and dissatisfaction. For provider teams, it can be difficult to keep customers updated on changes in the schedule in a timely manner especially with larger customer groups and peak periods of change occurring throughout the year.

Hayylo Notify aims to solve this for both the provider teams and the customers they support by automating notifications for:

  • Customers (care recipients) in the form of SMS notifications and App/Push notifications
  • Family (contacts) in the form of App/Push notifications

How does Notify work?

Hayylo Integrations import all schedule data at set intervals (provider CMS dependant). In some examples this means we log all services and changes every few minutes and analyse the following:

  1. What has changed?
  2. Should a notification be sent?
  3. When should a notification be sent?

The Smart Analysis engine, built into Hayylo, constantly makes these determinations and is configurable to suit the scheduling/rostering behaviour of your team as well as your customer communication processes. 

 

Smart Notifications

Reminder phone calls / manual SMS reminders will be replaced with automated SMS reminder messages (called Smart Notifications). These are timely messages to the customer to inform them when a visit has been amended based on the schedule data in your CMS.

This means that the your customer service/scheduling team will no longer have to set reminders to make these phone calls to the customer.

 

Smart Actions

What if a client doesn’t have a mobile phone or prefers to be notified by phone (not text)?

For these clients, a “Smart Action” will be created to prompt your team to contact the customer by phone as needed. This happens automatically and will simply appear in the Hayylo group “Smart Actions” with all of the details around what has changed so the team can call the client.
